How to Organize Your Desk to Be More Productive

In the West there is a specialty called “professional organizer.” He helps clients organize their rooms and offices, organize their paper and electronic files, and develop a personalized scheduling system.

Lisa Zaslow is one of these specialists.

Research shows that the average person loses an hour a day due to disorganization. At the same time, people get terribly annoyed when they can’t find something. But it takes much less time to put things in order.

Here's how Lisa and other experts recommend organizing your workspace to maximize productivity.

Rule 2. Use stationery wisely

Do you really need 10 pens, a letter opener and a stapler every day? Keep on your desk only those office supplies that you use daily. Fold the rest into a pencil case and put it away on the table, or better yet, somewhere far away.

Getting up from your desk to grab a pencil or paperclip will temporarily take your mind off the project you're working on. This will allow you to look at it from a new angle when you return.

professional organizer from Chicago

Another expert, Andrew Mellen, emphasizes that it is better when employees store office supplies in one place (a common chest of drawers or shelving), rather than each in their own drawers.

Furniture

1. Tables.
There should be enough free space on your desk so that you can work comfortably without being interrupted by trifles. If you have to split your time between your computer and paperwork, consider the panoramic method, which allows you to move between your traditional desk and your computer without getting up. If you have the option, try to find a desk with adjustable height. Think about how to install the desk so that it is integral to the entire office. If you want to place the table so that it serves as a barrier between you and the intended visitor, this is your right, this will achieve the effect of psychological distance, but if you are pursuing a completely opposite goal, then you should install it differently.

By placing a table against a wall, you will create a convenient place to place bookshelves, hanging posters, etc. If your workspace is in an open-plan office, this desk placement will help eliminate random clutter and reduce distractions.

2. Chairs. Most modern office chairs are equipped with wheels and hinges, which allows you to move freely throughout the entire area of the office space. In addition, these chairs are equipped with backrests, which helps prevent excessive strain on the neck and back. Don't try to emphasize your status with furniture. Chairs should be functional. To choose a chair for yourself, pay attention to the following characteristics:

  • presence of a height-adjustable seat;
  • the presence of a backrest that is adjustable both in height and in the transverse direction;
  • availability of sufficient seat depth;
  • proper stability;
  • the presence of wheels that match the floor covering in your office.

3. Chair adjustment.
When adjusting a chair, you need to take into account both the size of your body and the height of the working surface of the table, if it is not adjustable. Basic recommendation: the height of the seat should be adjusted so that you can sit comfortably on it; in this case, the soles of your feet should rest on the floor, and the gap between the front of the chair and your calves should be 5 centimeters. After this, you should adjust the backrest both vertically and laterally so that your lower back does not strain. If the chair has armrests, they should be adjusted so that they lightly touch the bottom of your elbows when they are at right angles to the back of the chair. The armrests should not raise your elbows at all. If they bother you, it is better to dismantle them.

When adjusting your chair, consider the height of your desk and computer keyboard. You should position yourself so that your legs are comfortably located under the working surface of the table and nothing interferes with their free movement.

If you cannot achieve this position, then the working surface of the table is too low for you. If the work surface of the table when you sit is located significantly higher than the level of your elbows, you should adjust the height of the chair. In this case, you will have to place support under your feet so that you can take a comfortable sitting position.

Rule 4. Don't overdo it with personal belongings

It is important to maintain a balance between professional and personal life in the workplace. It's difficult.

Family photos, souvenirs from vacations and other pleasant little things warm the soul and lift the mood during the working day. However, overly memorable things that evoke a storm of memories are too distracting.

The gaze glides over objects, and the brain processes information, even if we are not aware of it.

The topic - how to keep the system in working order - will always be relevant. One way to maintain efficiency is to clean up your computer desktop. Moreover, observing this rule is important not only from an aesthetic or organizational point of view.

In this article, we'll look at several ways to organize and optimize your desktop.

  • 1 What should be on the desktop.
  • 2 How to check the desktop size.
  • 3 Where files are downloaded from the Internet.
  • 4 Transferring system folders.

What should be on your desktop?

I have long noticed that for some reason many users, those who often complain about their computer, can find music, videos, and important documents on their desktop... If a user needs to download Skype to a computer, then The desktop contains not only the Skype call icon, but also the installation file. When copying files from a CD or flash drive, users also often drag everything onto the computer desktop.

Over time, the number of such saves grows so much that the computer begins to slow down. This happens because the contents of the desktop are stored in a special folder on the system drive. And the more space it takes up, the less space remains for the system to breathe more freely.

That is, you must understand that by saving files to the desktop, we reduce the amount of free space on the system disk, which is necessary for normal operation of the system.

How to check desktop size.

You can check the size of your desktop. In Windows XP this folder is located in this path:

C:\Documents and Settings\User\Desktop\

And in Windows 7 you can find the desktop folder like this:

C:\Users\User\Desktop\

Note! Instead of the first letter C: you may have another letter - this is the partition with the operating system installed. And instead of User there will be the name of your account - for example, your name.

The size should be checked like this. If everything is correct and only shortcuts are stored on your desktop, then the size of this folder will be about 100 KB. If you get much more, then you should urgently take action. To do this, open the desktop folder, find the largest files and move them to less critical sections.

Where files are downloaded from the Internet.

Now it’s worth figuring out why downloaded files are saved to the desktop. To do this, check your browser settings.

In Opera, these settings are located in Tools - General Settings - Advanced - Loading.

In the Google Chome browser, select Settings - Advanced - Download and also indicate the folder in which we will save everything that we download from the Internet or set the “Request a location to save...” checkbox.

For Firefox, setting the download path is located on the first Main tab of the settings dialog.

In Windows XP, it was customary to set the download folder to the Desktop. In Windows 7, this default folder is the Downloads folder, which is also located on the system drive. And if you download files a lot and often, you will soon fill the system disk to capacity.

Transferring system folders.

However, in Windows 7, you can easily move the Downloads folder (as well as the Desktop folder) from the system drive to some other location and thereby solve the problem with the space used.

It's done like this. Open Start and find your account name.

Click on it and you will be taken to your account window. Find the Downloads line on the left, right-click and select Folder Location. Another column will appear in which we find the Downloads icon and right-click and select Properties.

A dialog will open in which you need to select the Location tab. Specify here a new location for the Downloads folder and click the Move button. Now you don’t have to reconfigure the paths for saving downloads in your browsers; the system itself will figure out where to save the files.

Similarly, you can change the storage location of the Videos, Music and Documents folders.

And in general, make it a rule : to store documents, projects, photos, music and films, create folders on a different, non-system partition. And then, in the event of a system failure or reinstallation, the chances of recovering your data will be much higher.

Yes, if you do all of the above, then many problems will disappear, especially with the constant lack of space on Disk C, like many) Although I use 3 desktops that switch between each other: 1st work, 2nd for entertainment, 3 -th for literature and magazines.
